English E-mail

1. To write a salutation

(1)传统的写法“Dear Mr./Mrs./Miss/Ms.+Last Name(姓)”,如Dear Mr. Johnson。

Smith。

To whom it may concern, 又或者Ladies and Gentlemen。 If in doubt, "Dear [first name]" will usually work just fine.

2. To write a body

Thanks a lot. :-), URGENT (This message is time critical.)

(1)Get Straight to the Point

I've attached the documents you requested at our meeting yesterday. You may well need to include more details, but if you put the important point up front, your email is more likely to get a timely response. If your question comes too far down, the recipient may not even realize that you need a reply.

(2) Keep it Short

Do make sure you give enough information for your correspondent to be able to make a decision, if that's required. You might find tha(来自:WwW.zaiDian.com 在点网)t it's best to offer this as an attachment – you'll have more flexibility over formatting, and your correspondent can print out the attachment easily.

Enclosed/ Attached is/are?

(3) Use Numbered Points

If you've got several questions or points to make, it's very helpful to number them. This makes it easy for the other person to respond to each one, especially if some just require a yes/no response or a single word answer. For instance:

Could you let me know: 1. What?? 2. How?? 3. When??

(4) Re-read and Use Spell-Check

A typo or spelling mistake can turn one word into an entirely different one. If you’re using email in a professional capacity, that mistake could be embarrassing – or even offensive. It might alter the whole meaning of your email: a missing “not”, for instance, could potentially cause problems.

3. To add signature(落款署名)

1. Please reply as early as possible.

2. May we request the favor of your early reply?

3. Your prompt reply would be greatly appreciated.

4. We look forward to receiving your early reply.

5. As the matter is urgent, an early reply will oblige.

6. We await good news with patience.

7. We trust you will favor us with an early (prompt) reply.

8. Will you kindly inform us immediately what you wish us to do?

Dear Wolfgan,

Ur mail received. I tried my best to look for the materials U want. But the literature of this field is so limited. I have typed all I have found and now mail is to U as enclosed.

Yours, David Jimmy,

I received your memo and will discuss it with Eric on Wednesday.

Best
